Who we are
Bingo Procurement Services (“BPS”, “we”, “us”) is a procurement, sourcing and logistics business at Allied Freight Compound, off Salima Road, off Sobo Street, Lilongwe, Malawi (postal address: P.O. Information we collect
We collect only what you choose to send us:
- Quote request form: your name, organisation, email address, telephone number, the product or service you need, category, quantity, specifications, delivery location, sourcing preference, timeframe, notes, and any specification document you attach.
- Contact form: your name, organisation, email address, telephone number (optional), subject and message.
- Email, phone and WhatsApp: whatever you share when you contact us directly.
When you use the forms, the website also processes limited technical information to protect itself from abuse, as described below.
Why we use it
We use the information you submit to respond to your enquiry, prepare quotations, source the products or services you ask about, and keep a record of our communication with you. We do not sell your information, and we do not use form submissions for marketing lists.
How enquiries are handled
- Form submissions are sent by email to info@bingoprocurementservices.com. The website does not keep a database of submissions.
- An attached specification document is held briefly on the web server in a non-public folder so it can be attached to the email, and is then deleted.
- Your enquiry may be shared with suppliers, shipping lines, transporters or clearing agents only as far as needed to source, price or deliver what you asked for.
Security and technical information
- Cookie: pages with forms set one session cookie (
bps_sid) that protects the forms against forged submissions and repeated sending. It expires when you close your browser. The website does not use advertising or analytics cookies. - Abuse protection: to limit spam, the website keeps short-lived records of how often forms are submitted. These records use a scrambled (hashed) form of your internet address, not the address itself, and are cleared automatically within about a day.
- Error logs: technical error logs record what went wrong and when, with a reference number, but not the content of your enquiry.
- Hosting and network providers: the website is hosted with a web hosting provider and may be delivered through Cloudflare, which process connection data (such as internet addresses) to deliver and protect the site.
Third-party services
If you choose to contact us on WhatsApp, your conversation is handled by WhatsApp under its own privacy policy. The “Get directions” link opens Google Maps, which is also governed by its own policy.
How long we keep information
Enquiry emails are kept in our mailbox for as long as needed to respond, carry out any resulting transaction, and keep business records that we are required or reasonably need to keep. [BPS to confirm its retention period.]
Your choices
You may ask us what information we hold about you from your enquiries, ask us to correct it, or ask us to delete it where we do not need to keep it. Email info@bingoprocurementservices.com and we will respond as soon as we reasonably can.
Changes to this policy
We may update this policy, for example if we add analytics or new services to the website. The date at the top shows when it last changed.
